In Hanna Prodigy, we have designed a careful system to manage who can teach Hanna at the company-wide level. This ensures that company-wide knowledge is controlled and accurate. Let's break it down in simple terms:

- Initiative Owners with Administrative Privileges: These are the top-level people who have full control over Hanna Prodigy in your company.
- Initiative Owners with Special Permission: Some Initiative Owners might be given a specific privilege called "Teach Hanna at Company Level." This allows them to share knowledge that everyone in the company can benefit from.
We have also put in place a unique rule for Smartnotes that are used to teach Hanna at the company level. Here's how it works:
- Creation: When an Initiative Owner creates a company-level Smartnote, they are sharing knowledge with the entire company.
- Modification Within the Same Initiative: Other Initiative Owners from the same initiative can see and modify this Smartnote. For example, if Sarah from the Marketing Initiative creates a company-wide note, her colleague John (Initiative Owner too) from the same Marketing Initiative can edit it.
- Read-Only for Other Initiatives: Initiative Owners from different initiatives can see the Smartnote, but they can't change it. It's like they have a view-only copy. For instance, if Tom from the Sales Initiative sees Sarah's company-wide note, he can read it but can't edit it. In these cases, they will see that the Smartnote has a small lock at the bottom right.
We designed this system to encourage communication and collaboration while maintaining control over company-wide information. Here's why:

- Encouraging Collaboration: If someone from another initiative wants to change a company-wide note, they need to talk to the original creators. This promotes discussion and ensures everyone understands why changes are being made.
- Respecting Expertise: It recognizes that the initiative that created the note might have specific knowledge or reasons for presenting the information in a certain way.
Let's say Sarah from the Marketing Initiative creates a company-wide Smartnote about the company's new branding guidelines. Here's how it would work:
- Sarah and her Marketing Initiative Owners can view and edit this note.
- Tom from Sales can see the note and use it to understand how to present the brand, but he can't change it directly.
- If Tom thinks something should be updated, he needs to reach out to Sarah or any other initiative owners in that initiative to discuss the changes.
This system ensures that important company-wide information is shared broadly, but changes are made thoughtfully and with the right expertise involved.
